Booking your entertainment is one of the biggest decisions you’ll make for your wedding day. It sets the tone for everything from your first dance to the last song on the dance floor. It can also feel like one of the most overwhelming parts of planning, especially with so many bands, packages, and price points to compare.

Here’s the good news: booking a wedding band doesn’t have to be stressful. We’ve broken the process down into six steps, so you know exactly what to research, ask, and check before you sign.

Start Your Research Early

Give yourself time to explore. Spend time on band websites and social media platforms to get a feel for their sound, energy, and vibe. Video is the best way to preview a band before you ever meet them in person.

As you browse, keep a few questions in mind:

  • Can you customize the band’s package to fit your budget?
  • Are there add-ons worth splurging on?
  • Are there current promotions or date-specific discounts?
  • Can the band adapt to your specific event vision, venue, and guest count?

Narrowing down your list with these questions upfront saves you from falling in love with a band that can’t actually deliver what you need.

Read Reviews and Check the Awards

Reviews are one of the fastest ways to gauge how a band actually performs. Most couples now say reviews are the single biggest factor in choosing a vendor. If a band has little to no review history, they may not have much live event experience yet.

Look for patterns in what past clients say. Was the dance floor packed all night? Did the band read the room and adjust? How smooth was communication during planning? A few reviews worth searching out specifically:

See the Band Perform Live

Sample tracks and promo reels are a great starting point, but nothing replaces seeing a band perform live. The energy of a live showcase is something video simply can’t capture.

Think of it like touring your venue or tasting your catering menu — you wouldn’t book those sight unseen, so don’t do it with your entertainment either. At a live showcase, you can watch a real rehearsal, meet your producer face-to-face, talk directly with the musicians, and compare band sizes and styles in person. Can’t make it in person? Ask if a virtual showcase option is available. It’s an easy way to preview a band from anywhere!

Book Early, especially for Popular Dates

Timelines have only gotten tighter. Most couples now book their entertainment 9 to 12 months before the wedding, and in-demand bands or peak-season dates (spring and fall weekends, holiday weekends) are often booked 12 to 18+ months out.

If your date is more than a year away, start reaching out now. Waiting means risking your first-choice band already being booked. That said, if your wedding is coming up soon, don’t assume it’s too late. Reach out anyway; availability sometimes opens up.
